We are looking to hire a new Management Assistant in Visé, Belgium and reporting to the Group Supply Chain Director KI.

As a Management Assistant, you would Provide general support to Supply Chain Director KI EMEA & APAC and collaborate closely on a daily basis with the Management Assistant team.
What you’ll be doing:
Manage complex calendars; schedule and prioritise internal and external meetings and calls; resolve conflicts.
Manage expense reports and vacation schedule.
Provide mails, telephone support – acting as Group Supply Chain Director representative to independently handle cases as appropriate. Dispatch incoming calls to appropriate persons and handle independently when possible to lighten workload of management.
Assist with meetings agendas, prepare meeting minutes, follow-up and communication about action plan, liaise with stakeholders to get/give information.
Assist with documents preparation (correspondence, announcement, presentation, etc.).
Organise logistics for meetings and workshops (rooms, access, catering, technology, materials).
Assist with events organization in Belgium and abroad, including travel and accommodation arrangements, in line with policy, budgets and approvals. Support on optimizing cost about accommodation & travels.
Contribute to efficiency of all Management team meetings and projects.
Administrative support on Purchasing process (SAP - PR/PO/invoices follow-up).
Collect financial & operational data’s for reports, operations support, meetings, business reviews and processes.
Perform general clerical duties to include but not limited to: photocopying, mailing, and filing.
Ad hoc support to staff members with specific tasks including KISC new comers onboarding.
Ad hoc support to staff members with projects. Act as the liaison officer between SC Management Director/direct reports and Team and contribute to efficiency of all Management team meetings and projects.
Expected business travels is up to 10% of time.

What we’d love for you to have:
Bachelor or a Master degree in administration, in management assistant or equivalent by experience;
Minimum 5 years of experience as a management assistant, ideally in a similar position/environment;
Excellent knowledge of MS office suite (strong skills of Word, Outlook, PowerPoint, Excel);
Fluent in English and French. German is a plus. Professional verbal and written communication skills;
Proactive and efficient mindset, with a responsible attitude;
Excellent organizational skills (workload, priority, stress management);
Independent, resilience, flexible personality with developed soft skills;
Understanding of information discretion & confidentiality;
Team player and easy to adapt and integrate into teams.
