We are looking to recruit a new Management Assistant in Visé, Belgium and reporting to the Supply Chain Director KI EMEA & APAC.

We are looking for a Management Assistant who will have a multi-faceted role and will be in charge of several matters including the administrative management of the Supply Chain department, general and global support for the Managements Assistant office, but also the management of travel, credit cards and the management of the HQ site in Visé.
You will have the opportunity to travel very occasionally between 0 and 10% in the EMEA/APAC regions only when necessary.
What you’ll be doing:
Provide general support to Supply Chain Director KI EMEA & APAC and collaborate closely on a daily basis with the Management Assistant team.
A to Z Agenda
- Set up of internal and external meetings, conference calls including team meetings coordination, priorities & conflict management day to day calendar basis but also yearly KISC basis including all regions;
- Organize meeting rooms, access, catering…arrangements;
- Assist with meetings preparation (calendar, documents…);
- Assist with taylor-made events organization in Belgium and abroad;
- Contribute to efficiency of all Management team meetings and projects;
- Prepare meeting minutes, follow-up, communication about action plan, liaise with stakeholders to get/give information;
- Organize international/local travel and accommodations arrangements;
- Support on optimizing cost about accommodation & travels ; respect of Travel Policy;
- Deloitte calendar insuring precise follow up of days/country.
Day to day administration tasks
- Provide mails, telephone support – acting as representative to independently handle cases as appropriate;
- Assist with documents preparation (correspondence, announcement, presentation….);
- Perform general clerical duties to include but not limited to: photocopying, mailing, filing… including shared documents/infos Compass, Yammer;
- General correspondence, internal communication, expenses reports (MXP) & vacation/home office schedule (Partena);
- Administrative support on Purchasing process (SAP - PR/PO/invoices follow-up);
- Support on financial & operational data’s sharing;
- Support monthly KISC reporting follow up – gate keeper role of cost control;
- Ad hoc support to staff members with specific tasks including KISC new comers onboarding;
- Act as the liaison officer between SC Management Director/direct reports and Team (gate keeper role on rules/guidelines respect, Team spirit ambassador…);
- Administrative support on Contract Management Tool.
KI Travel Coordinator role
- Coordinate travel management with local colleagues in all KI divisions:
- based on contract signed between KI and Travel Agency
- based on contracts signed with travel operators either on KI or Knauf Group level contracts being under responsibility of Procurement (closely collaborating with Travel Coordinator);
- Manage on KI B, FR and DACH regions traveler profiles in booking tool;
- Manage direct contact with Travel Agency, travel operators (Airplus, hotels,…);
- Analyze Travel Agency monthly dashboards;
- Manage Quarterly Business Review with Travel Agency;
- Work closely with HR and Finance on topics such as traveler data profiles, expense follow up;
- Manage support, communication, contact … with Travel Arrangers, colleagues in different entities, Knauf Group Travel Coordinator.

If you have experience in the following areas – this is an added advantage :
- Former experience of at least 8 years in management assistant and at least 3 years in similar position/business;
- Bachelor or master’s degree in administration, in management assistant or equivalent by experience.
- Master MS office suite (strong skills of Word, Outlook, PowerPoint, Excel);
- Language: Fluent in English, French - German is a plus;
- Be interested in technical environment.
